When writing a message, one must analyze the audience in order to determine the most appropriate way to deliver the message. According to Anderson, Ditus, and Shadwell (2011) one must not only face the audience while delivering the message, but must watch the audience before writing the message and carry out a thorough audience analysis to give a careful thought of the situation. If one does not know the audience prior to writing the message, swaying them is only dependent on luck regardless of how much one practices. In this case, conveying nay message requires adequate planning. One has to analysis, the beliefs, gender, age, what the audience knows about the topic, among other aspects (DeGeer, 2003, par. 5).
Malaysian Airlines Flight 370 disappeared without a trace (“The missing plane,” n.d.) in the vast oceans (CBS News, March 8, 2015). The news of the flight disappearance is regarded as negative by all the possible audience i.e. the families of the passengers and the staff of the airlines, the workers of the company, and the general public. Therefore, while giving news on the disappearance, one has to mind the personal attachment the passengers and the staff had i.e. there were children, parents, spouses, and friends.
The families would expect news on what the government and other authorities are doing to save the people onboard the plane. Such would give them hope of meeting their loved ones who they fear may be dead. They also expect information on when, why, how, and where did the plane disappear. In addition, they would also expect that they are told the truth and nothing but the truth as soon as possible. The truth would save them the agony of waiting for long without clues to what happened. Most of the family members get traumatized such devastating news and hence one has to ensure that the message, however negative it is, does not increase the trauma.
The workers of the company would expect to know the measures the authorities are taking to save the people on board. Workers develop a close relationship among themselves and, therefore, one expects that they would be traumatized by the event. In addition, they imagine if they were the team on board the flight what their fate could be. They also would expect an update of measures of ensuring that such does not occur again.
The general public, on the other hand expects information on what is being done to save the people. The general public would also expect to know what the government is doing to help the families of the people onboard the plane. Although the general public expectation might not be the same as those of the families and the workers, the expectations have a political aspect and hence one has to be very careful.
Secondly, one has to ensure that the wordings of the message show compassion, empathy, and give the people hope. Third, one has to ensure that there are experts such counseling experts and rescue teams to help those who may find it difficult to digest the message. One also has to ensure that the physical environment is right. For examples, one can let all the people sit down and be calm. Such would make it easy for one to keep a face contact with the audience throughout the presentation of the message.
Considering the above conditions, a message to the families may be as follows. The mode of presentation would be face to face. This news is broken less than twenty-fours after the disappearance of the flight.
“Ladies and gentlemen, it is with a lot of sadness and deep regrets to announce that on March 8, 2014 the Flight 370 from Kuala Lumbar to Beijing disappeared over the vast sea with all the passengers onboard. The disappearance is been tracked on the radar and even the satellite. All experts from various countries have been dispatched to establish what happened since as of now, we do not have the details. As of now, no one can rule that the flight is somewhere safe, and soon all the people onboard shall be saved. This is an extremely regrettable situation, and the government is doing all what is possible to expedite the search to rescue the people. I encourage you al to remain calm and cooperate with the government and all the officials any help they may require to uncover what happened. More details shall be communicated to you in four hours from now. Thank you.”
I am disturbed to inform you of the disappearance of the flight 370 on March 8, 2014. The unfortunate event took place in an unknown destination during the flight from Kuala Lumbar. The situation is highly regrettable, and the government and other authorities are taking all possible course of action to save the passengers and staff onboard. In the meantime, be advised that measures have been adopted to enhance the security of the planes. Kindly do not disclose information concerning the accident to the public or the families or on your social media as doing so might jeopardize the whole process of search and or hurt the general family and the family. Thank you for you cooperation.
