Database refers to the collection of information that seeks to explain various concepts. There lie advantages and disadvantages as discussed. Beginning with the advantages, databases reduces the redundancy of work, reduce human errors that might occur as it increases the consistency of data (Small Business-Chron.com, 2015). In addition, it increases the integrity of data and reduces its dependency on other information systems; thus, improve data access and easy use for the users. Databases are more secure way of storing data, reduce the workload that comes with data once an individual would like to retrieve, return and store the data. Retrieval costs are minimized (105). On the other hand, on the verge of data retrieval, it enhances the opening of other related programs. There are few disadvantages, which when keen measures are stipulated, they can be avoided. Such are; complexity, software and hardware costs, the need for experts to install the systems and slight damage could affect all related programs (Small Business-Chron.com, 2015).
Spreadsheets are a way of data presentation. Just like database, it has disadvantages and advantages. The advantages are; one could easily ask a question without the need for rebuilding a model, re-calculation is done automatically, graphs can be easily produced due to the use of variable constants. Spreadsheet can easily be shared, making it easier to transfer data without alteration and can be saved for future use. It can be easily shared without the need for introducing other software and can be speeded up or slowed depending on personal interests. The disadvantages are; it may not represent the situations in the real world given the models that are used. Such models depend on people as well. Thus, it is difficult to come up with accurate results. The use of many variables in preparation of a model may be time-consuming and inefficient as well (McCooey, 2015).

Apparently, as mentioned in the recommendations section, the use of Excel spreadsheet in second-hand retail car business is effective and more appropriate owing the fact that such business don’t have burdensome information to record. Considering that the basic information that will be kept by this organization will essentially emphasis on the suppliers, customers, and the retailers’ information. The basic format below in the form of a spreadsheet will be effective enough.
Under the first section of the Excel spreadsheet the “car brand”, the retail business in question can input the name of the car sold. Considering that the second-hand car retail business in question deals with a variety of cars, it recommendable and appropriate for the business to keep a record of the types of cars sold. The above will, in essence, enable the company knows the cars in high demand and hence enable them formulate appropriate strategies for acquiring these cars in considerable amounts and timely manner. The section “no of cars remaining” will tabulate the no of cars remaining of the similar type to those sold.
The supplier section will record the name and details of the supplier of the car in question. The cost or rather the resell value of the second-hand car sold will be recorded under the cost section. For reference purposes, it is imperative to record the date and the retailer information. Under the “retail information,” the name of the broker and the employee concerned with the sale of the car will be recorded. Finally, considering that customers to this retail information is imperative to its progress, customer’s information will be recorded. The name and other relevant details of the customer will be recorded for the main reason being to track and inquire from the customer regarding the whereabouts and his or her experience with the car he or she bought.
